Crown Limo Service Dallas provides chauffeured transportation for corporate travelers, executives, private clients, wedding parties, event guests, and other passengers across Dallas, Fort Worth, and the DFW Metroplex.
Passengers may discuss business, make calls, attend meetings, carry documents, or travel to private locations while using our service. We treat trip and passenger information as private business information and limit its use to booking, dispatch, transportation, payment, safety, and legal needs.
This statement explains our approach to confidentiality and requests for Non-Disclosure Agreements (NDAs).
Reservation information is used for arranging and completing the booked transportation.
This may include:
Access to this information should be limited to people and service providers who need it for the reservation or related business functions.
Corporate and executive trips can involve information that isn’t intended for public disclosure.
Our chauffeurs and dispatch personnel are expected to treat passenger identities, routes, schedules, destinations, conversations, and trip details with discretion.
We don’t authorize personnel to publish or disclose a passenger’s travel information for personal, promotional, or social media purposes.
Chauffeurs may hear phone calls, meetings, or conversations during a trip simply because they are present in the vehicle.
Our personnel are expected not to repeat, record, photograph, publish, or disclose private passenger conversations learned during transportation, except where disclosure is required by law or needed to address an immediate safety issue.
Passengers remain responsible for deciding what confidential, privileged, financial, legal, trade-secret, or other sensitive information they discuss during transportation.
Passengers may carry laptops, phones, files, presentation materials, contracts, prototypes, or other business property.
Passengers remain responsible for keeping these items in their possession and securing confidential information displayed or stored on their devices.
Crown Limo Service Dallas does not take custody of confidential documents or electronic devices merely because they are transported in one of our vehicles.
Property left behind is handled under our lost-property rules.
We do not permit chauffeurs or staff to disclose a passenger’s identity simply because the person used our transportation service.
This applies to executives, public figures, corporate guests, private families, wedding clients, event attendees, and other passengers.
Passenger information may still be disclosed when required for the reservation, authorized by the customer, required by law, needed for insurance or payment matters, or necessary to address a safety or legal issue.
Crown Limo Service Dallas does not grant personnel permission to photograph, film, or post passengers on personal social media accounts merely because they are providing transportation.
A passenger’s name, trip, destination, vehicle assignment, or travel schedule should not be posted publicly without permission.
Any marketing use of identifiable passenger photos, videos, testimonials, or trip details requires the rights or permission needed for that use.
Reservations made through an employer, corporate account, executive assistant, travel coordinator, event planner, or authorized booking contact may require trip information to be shared with that person or organization.
Information shared will depend on the account relationship, booking instructions, billing requirements, and authorization connected with the reservation.
If a passenger requires restrictions beyond the normal corporate booking arrangement, those requirements should be discussed before service.
Some reservations require a written NDA.

An NDA is not automatically part of every reservation.
If an NDA is required, send the request before the reservation is confirmed or as early as possible before service.
Corporate clients and private customers may submit their own NDA for review.
We do not treat an NDA as accepted merely because it was emailed, uploaded, or handed to a chauffeur.
An NDA becomes binding only after it has been reviewed and signed by a person authorized to accept it on behalf of Crown Limo Service Dallas.
Chauffeurs are not automatically authorized to sign contracts or NDAs on behalf of the Company.
If a client requires a chauffeur to sign an individual NDA, the request must be made before the trip.
We will review the requested terms and determine whether the assigned chauffeur can sign the document.
Last-minute NDA requests may not be possible to review before pickup. A refusal to sign an unapproved document at pickup does not, by itself, change the confirmed reservation terms.
Some reservation information may need to be processed by companies that support booking, payments, communications, dispatch, technology, or other business functions.
Information is shared based on the service being performed and our data-handling practices.

If a client’s NDA requires special restrictions on third-party processing or access, those restrictions must be reviewed before the NDA is accepted.
Confidentiality does not prevent Crown Limo Service Dallas from disclosing information when disclosure is required by applicable law, a valid court order, subpoena, regulatory requirement, or other lawful process.
Information may also be disclosed when reasonably necessary to address an immediate threat to passenger, chauffeur, staff, or public safety.
An NDA cannot require Crown Limo Service Dallas or its personnel to conceal illegal activity or ignore a legal reporting obligation.
We may retain reservation and business records for payment, accounting, insurance, dispute, tax, safety, and legal purposes.
Confidentiality does not require the automatic deletion of records that we are permitted or required to retain.
Retention and handling of personal information are governed by our Privacy Policy and applicable law.
Clients who require restricted communication, special pickup instructions, limited disclosure of passenger names, or other confidentiality arrangements should discuss those requirements before booking.
The reservation should identify any agreed confidentiality instructions so dispatch and the assigned transportation personnel can receive the correct directions.
Do not place highly sensitive passwords, account credentials, full payment card numbers, or unrelated confidential records in standard booking notes.
